Get Started with Space Manager

Space Manager is found in the app section of the sidebar in Confluence.

Adding spaces

Add or remove spaces from the view with the Spaces field.

  1. Start typing in the field or select the down arrow to see a list of spaces.
  2. You can add any space that you have permission to view.

Removing spaces

  1. To remove all the spaces from your view select the x at the end of the field.
  2. To remove one space select the x next to a space you want to remove.

Refresh your view

To make sure that your view is up to date, you can refresh the overview of each space. Select the refresh icon next to all selected spaces to refresh everything at once. Or select the refresh icon next to a single space to refresh that individual space.

Customize your view

From the customize view screen you can choose which columns are shown on the feature page. You can also re-arrange the order of the displayed columns.

  1. Select Customize this view to open the screen.
  2. Use the toggles to select the columns you wish to include.
    Note: At least one column must be selected
  3. Use the drag and drop handles to rearrange the columns to suit your needs.
You can use the quick search to easily find the pages you need.
  1. Select the Search icon at the top of the Space Manager feature page.
  2. Enter your search term and use the checkboxes to refine how you want to search.
  3. Select Apply.

The Space Manager feature page will now only list the pages that match your search term.

The page tree view will be disabled while your search results are shown as not all the pages are included on the screen.

You can clear the search in two ways.

From the Search Menu

  1. Select the Search icon at the top of the Space Manager feature page, then select Clear search.
  2. Select Apply

From the Info Message

  1. Click the info message beneath the space list to open it.
  2. Click Clear sort/filters.

Sort View

You can change the order that the pages are shown on the feature page. When no sort is applied the pages are displayed to match the page tree. You can use the sort to arrange the pages based on the date they were last updated.

  1. To change how the pages are sorted select the Sort by button at the top right of the feature page.
  2. Use the down arrows to choose how the pages are sorted and select Apply.

Use Filters

You can filter the pages that are shown on the feature page based on a combination of:

  • label
  • status
  • page owner
  • restriction type
  • last updated

You can combine the search, filter, and sort functions for even more precision.

Add Filters

  1. To add filters select the Filters button at the top right of the feature page.
  2. Select the down arrow to add a status or label to the filter.

    You can also select date ranges for when pages were last updated.

    You can add as many items to the status and label filters as you want.

  3. To exclude pages select the status, label, or dates you want removed from the feature page and then select the Exclude checkbox.

    You can combine the filters to get only the pages you need. In the example above the feature page will show pages that have one of the labels visual-impact or cfm, and do not have verified status.

  4. To apply your filters select Apply.
    The feature page now shows only pages that fit the filters.

Clear filters

To remove filters from the feature page you can select the x buttons next to items to remove them one at a time.

  1. To remove all the filters at once select Clear filters.
  2. Select Apply to update your feature page.

Limit view to selected pages

  1. Use the checkboxes to select the pages you want to include in your view.
  2. Then select the Hide unselected pages checkbox at the bottom of the screen.

Use advanced restriction filters

Advanced restriction filters let you filter pages based on restrictions that have been applied to specific users or users groups.

ex. Set a filter so you only see pages that the Marketing team can both view and edit.

  1. In the filters screen select Advanced restriction filters to open the menu.
  2. Enter users or user groups you want to base the filter on.

    If you don't see the option you want you can start typing to see more choices.

  3. Select the page restriction options you are interested in.

    The options are:

    • Can view & can edit
    • Can view & cannot edit
    • Cannot view & cannot edit

    By default the filter only shows pages if the restrictions apply to all selected users.

  4. To expand the filter to include pages where the restrictions apply to any of the selected user, uncheck the box at the bottom of the menu.
  5. To add the advanced restriction filters, select Confirm.
  6. From the filters menu select Apply.
