Form ID Management
Learn more about Form ID Management.
Every form in Confluence must have a Form ID. This ID acts as the routing number for responses, determining whether they are saved in Confluence, sent to chosen email addresses, or sent to Jira.
Form IDs can only be created by users with Administrator permissions.
Creating a Form ID
Space Admins can only create Form IDs with internal databases.
Tracking Form IDs
You can track the usage of configured Form IDs in your Confluence pages, so you can easily see where Forms for Confluence is helping your organization collect and manage information from users.
Deleting Form IDs
Form IDs should only be deleted when you are certain they are no longer needed. A Form ID cannot be deleted if it is still being used by a form on a Confluence page, or if responses are stored against it in the internal database.
If the Deletion Fails
A Form ID cannot be deleted if it is still active. The most common reasons are:
- It is still embedded in a page. Edit the page and remove or replace the Forms macro, then try again.
- It has stored responses in the internal database. Export or remove those responses before attempting deletion.
Use the Show Usages option in the configuration table if you're not sure where the ID is referenced. This gives a complete list of pages tied to the ID.
Best practices before deleting
- Export important results so data is not lost.
- Consider renaming the Form ID if you want to stop new submissions but keep the existing data.
- Check all usages before confirming deletion to avoid breaking active forms.
