Question: I used to use a single form ID to create multiple forms and group responses within my space. Can I still do this, given the latest release of Forms?

Answer: Yes - you can still use a single form across multiple pages to group responses.

To do this, create your form and copy that confluence page to your desired new location within your space. In the my forms table, the location field will show both places where your form resides, and the responses will be collected under the original form name.


Q: How do I install Forms for Confluence?

A: You can start by visiting our Marketplace listing and signing up for a free 30-day trial.

Please note that you must submit an internal request for approval if you are not a Confluence admin.


Q: I'm new to Confluence. Can I still use forms, or does it require some technical knowledge?

A: Anyone can use forms; you don't need to be a Confluence expert. Our easy-to-use Form Builder and Homepage make creating and administering forms very simple.


Q: Can I use forms to collect data from individuals outside my organization?

AYes, you can!

Our Forms for Confluence app allows for submissions from non-Confluence users; you will need to adjust your settings to allow non-confluence users access certain spaces on your account (don't worry; this is not a complicated step and is a secure feature that Atlassian offers as part of their paid Confluence packages).

There are a couple of options, but the most common use case is the setup of a dedicated space within your Confluence account which non-confluence users can access - think of this as an external area dedicated to content that you would like non-confluence users to access (often these people are customers of our clients). This space can then be populated with any pages/information you would like only that specific group of people to access - product/company documentation, forms (you can use our plugin here), help pages, etc.

Our plugin will continue to work as usual, allowing data to be collected from Confluence users & also those who do not have Confluence accounts. Your team can gather, analyze, and action feedback without needing to leave Confluence - and this can be managed alongside internal forms in other spaces within your instance from one handy place (the My Forms Homepage).

Q: Who has access to responses?

A: Anyone who creates a form or has been added as a collaborator can access response data via the forms homepage. You can also embed response data onto pages using the responses table macro.


Q: What do I do if I need a feature that is not available?

A: We're always looking for ways to improve the product; please visit our suggestion board and let us know your idea!


Q: I've accidentally deleted a form from the homepage - can I get it back?

A: You can still recover it from your space's Trash area (space settings> manage pages > trash) within ten days before it is permanently deleted.


Q: Do you know if the data collected in responses is secure?

A: Security is of utmost importance to us. Any data collected via your forms will be fully secured within Confluence and only accessible by the Admin of the space or site or by a collaborator who has been given view access to the data.


Q: I already have Forms for Confluence server data center. Can I migrate to cloud?

A: Yes, you can. We are more than happy to support you in this process, and initially, we have some documentation that can explain the process and technicalities for you here.


Q: I have a form on my homepage, but when I click its location, it takes me to a blank page or tells me that the page content cannot be found. What is happening?

A: It's likely that you either deleted the form on the page it was created on or removed the page where the form was located.

Unfortunately, there is no way to recover the form (you would need to rebuild it using a new form), but you can still access any responses collected via the my forms homepage; to do this, locate the form name and click on it.


Q: I want to create a new form, but I want it to sit on an existing page. Can I do that?

A: Yes - navigate to the page where you wish to create a form, open the page in edit mode, and use the / command, selecting the Create Form macro. For more information on creating new forms, please view our documentation here.


Q: Can I remove the Forms Launch button from the Confluence toolbar?

A: Yes, it can be toggled on and off. This is done in the Settings section of Confluence. 


Q: Why isn't Forms for Confluence Cloud configuration appearing when shared via Public link?

A: Per Atlassian, any visitor access the page via the public link will see a view-only version of that page, and Confluence will hide most of the content(page tree, macros, etc). Therefore, our macro is not available in public shared page.
