Assign a Task


Assigning tasks effectively is about matching the right work to the right team member at the right time. With the Calendar Availability app in monday.com, you can quickly see each person's availability, workload, and upcoming time off, all in one place, so you can make informed, fair assignments that keep projects running smoothly.

  1. Click on the task you wish to assign to a user. 
  2. Navigate to the Calendar Availability tab.
  3. Review team availability. For each user, the following information is displayed:
    • Availability percentage – how much capacity they currently have.
    • Out-of-office (OoO) days – upcoming scheduled time off.
    • Workload – their current assignments in monday.com.

      You can also filter the list to narrow down potential assignees. For example, toggle the filter to show only team members who are available (availability >55%).Optionally, check workload and time off details. Clicking on the OoO or monday.com load boxes opens a dialog with more information on the team members' status. The OoO dialog shows a list of upcoming OoO days, and the load dialog shows a list of assigned tasks and their workspaces.

  4. Click Assign under the team member you have selected to work on the task. The task is immediately assigned to them.
